I am working on a fairly big document and my Table of contents appears to get corrupted regularly. After updating the ToC the headings are almost half compared with the number of actual headings within the doc.

All the headings are still there and can be seen in the navigation panel. They disappear from the ToC though. To try describe better, my document has headings that go up to section 18 with multiple Appendices but the ToC stops at section 8. It was fine until a recent update to the document where an additional heading was added and ToC updated. I’ve already had to copy the full document over to a blank template before due to this but would like to know why this happens if there is any other way to resolve it.

Copying all over to a blank document brings its own challenges due to references, captions and general formatting issues. Hope the above description makes sense. I would like to post a screenshot to help detail but the document is a work test procedure so cannot share any images on here due to confidentiality issues. By default, Word includes only a few of the built-in heading levels in a table of contents. Which styles are being used for headings and for appendixes, respectively? Yes it is happening often. I am using templates supplied by my work to populate test procedures. It seems after a number of updates to the document when updating the ToC to incorporate the changes of page number or headings that it suddenly shortens and I can’t see any way of recovering the table.

I have went with another copy of document content into a blank template again which has resolved the issue once more. I will try and keep an eye on the issue re-occurring to see if there is any pattern related to adding headings or number of times the ToC is updated.

It is these paragraph attributes that are keyed on by the Table of Contents and Navigation Pane. I know that the designers at Microsoft thought there were good reasons to create Linked Styles. I do not care for them, at all. People who want to copy the formatting of a heading or other paragraph style can do so without needing this.

Select text in a paragraph and apply the style. It will act as a character style for most purposes. It is that simple. Unless you have non-printing formatting marks turned on to display, you may think you have the entire paragraph selected but Word will think otherwise because you did not select the hidden paragraph mark at the end of the paragraph.

This is more likely to happen if you have a space or punctuation before the paragraph mark. Click in the paragraph without selecting text and apply the style. Disable Linked Styles command at the bottom of the Styles Pane in Windows versions otherwise by using vba. Be very careful to select the entire paragraph. This is not all that easy to do. If you attempt to insert a Hyperlink to a heading, only those that were applied to the entire paragraph will show up in the dialog.

Cross-References to Headings. If you attempt to insert a Cross-Reference to a heading, only those that were applied to the entire paragraph will show up in the dialog. Notes about the Sample Document. Each instance of a Heading Style in the document has an accompanying Comment. When the style is applied to the beginning of a paragraph, that part shows up in the TOC but not in the Navigation Pane.

If the Comment is in the middle of the text that is in the Heading Style, it will cut off the part in the TOC at that point.

This is not true if the style is applied to the entire paragraph. See the second and the fourth paragraphs for examples. The same rules for when a Heading will appear in the Navigation Pane apply to the dialog boxes for insertion of Hyperlinks and Cross-References. Because I’ve seen the problems that come from Direct Formatting, I deliberately formatted the only correctly applied Heading so that it looks like body text. This direct formatting has no effect on the Heading qualities of the paragraph style.

You need to assign an Outline level to a paragraph style for it to show up in the Navigation Pane. You can have any style show up in the Table of Contents by changing the settings for the TOC field to include that style. This is not true of the Navigation Pane. It only shows paragraphs that have been assigned an Outline Level.

The built-in heading styles already have this assigned. Assigning a level in a MultiLevel List does not assign an outline level but a numbering level. This is best done using the Outline view. I’ve double checked and they are Heading 1 with all caps–and they are all caps in the body of the brief. Yes, Tables of Contents have Styles, too. I can’t think of a single reason why it should not – can you? If it works, apply the same rule for all the headings.

It is not strictly true that the entire paragraph must be formatted with a heading style in order for it to be included in the TOC. Provided the first character in the paragraph has a heading style then the TOC entry will comprise the text up to where the character style changes. If text later in the sentence is set to the heading style then it is not included. It only works if the paragraph style is a non heading style and the heading style is applied to characters.

This is a method of displaying in the TOC only the first part of a long heading paragraph. A sneaky way of displaying only the first sentence of a heading in the TOC: 1. Apply a non heading style to the whole paragraph 2.

Select the first sentence up to the full stop but not including the space after the full stop. Select the remainder of the text excluding the space after the full stop and excluding the paragraph mark at the end. Apply the heading style to this selection. Create the TOC.
